Everything you need to know about ATIP requests, GCMS notes, and our retrieval service.

About GCMS Notes & ATIP

What are GCMS Notes?

GCMS Notes are official records from Immigration, Refugees and Citizenship Canada's (IRCC) Global Case Management System. They contain visa officer notes, security check results, interview notes, and the complete processing history of your immigration application. They are obtained through an Access to Information and Privacy (ATIP) request under the Privacy Act of Canada.

Who can request GCMS Notes?

Any person whose information is held by IRCC may request their own GCMS Notes under Section 12 of the Privacy Act (R.S.C., 1985, c. P-21). A third party (such as our service) may file on your behalf with a signed IMM 5744 consent form.

What is the difference between GCMS Electronic Notes and GCMS Complete File?

GCMS Electronic Notes contain the officer's processing comments, security check results, and system notes. A GCMS Complete File includes all of this plus every document, letter, and piece of evidence submitted with or attached to your immigration application.

What are CBSA Notes?

CBSA Notes are records from Canada Border Services Agency including your entry and exit history, border enforcement interactions, traveller risk assessments, and admissibility decisions. They are retrieved via a separate ATIP request to CBSA.

What are CSIS Security Notes?

CSIS Security Notes are records held by the Canadian Security Intelligence Service about security screenings conducted in relation to your immigration or citizenship application. Not all applicants will have CSIS records; many responses confirm no files exist.

Application Numbers & Forms

What format is an IRCC application number?

IRCC application numbers consist of one letter prefix followed by exactly 9 digits. Valid prefixes are: E (eTA), P (Permanent Residence), V (Visitor Visa), S (Study Permit), W (Work Permit), F (Family Sponsorship), B (Business). Example: S301234567.

What is an IMM 5744 form?

IMM 5744 is the 'Consent for an Access to Information and Personal Information Request' form issued by IRCC. When signed by the applicant, it authorizes a designated representative to submit an ATIP request on the applicant's behalf. Our platform automatically pre-fills this form with your details so you can simply print, sign in blue ink, and upload it.

What is a UCI number?

A UCI (Unique Client Identifier) is an 8 or 10-digit number assigned to every person who has applied for any Canadian immigration status. It is found on all IRCC correspondence and permits. Providing your UCI number is optional but helps identify your file precisely.

Process & Timeline

How long does an ATIP request take?

Under the Access to Information Act and the Privacy Act, federal agencies have 30 calendar days to respond to an ATIP request. Extensions of up to 30 additional days are permitted for complex requests. CSIS requests may take 30โ€“150 days. Total processing typically ranges from 30 to 90 days.

Can I track my order status?

Yes. Every order receives a unique TRK- tracking number. You can track your order in real-time on the Track Status page using your tracking number or IRCC application number.

How are documents delivered?

Documents are delivered as secure, AES-256 encrypted PDF files directly to your password-protected client portal. You will receive an email notification when documents are ready for download.

Security & Privacy

How do you handle my personal data and consent form?

All uploaded consent forms undergo zero-trust security validation including magic-byte buffer inspection to verify file integrity. Files are stored in an isolated quarantine bucket and encrypted using AES-256 before being promoted to production storage. We are fully PIPEDA compliant.

Is your service affiliated with the Government of Canada?

No. We are an independent ATIP intermediary service. We operate legally under Canada's Access to Information Act and Privacy Act as an authorized representative service. We are not affiliated with, endorsed by, or part of any Government of Canada department.
